Activity 1 - Develop evaluation question/s
For this activity, we’ll discuss what’s important to you when it comes to how cleaning suppliers communicate or interact with you – such as knowing when they’re on site, carrying out joint inspections or maybe their approach to quality checking. We’ll then use your ideas to create a question (or set questions) for the tender evaluation stage.
- How much time is needed: 1.5 hours
- When: Wednesday 20th November 2024 (1pm to 2.30pm or 6pm to 7.30pm)
- Places available: 20
- Eligibility: Those who receive both communal cleaning and window cleaning services to their scheme by an external contractor
- What’s expected from you: Attend an online meeting via Zoom

Activity 2 - Review/Shape the specification
For this activity, you’ll review and give us your thoughts on our communal cleaning/window cleaning specification. A specification is essentially a list of expectations and actions that suppliers must comply with or do when they visit our sites – it forms the basis of their contract with us and is used to monitor their performance against. The feedback from this exercise will help shape the new specification that we’ll use to procure new contracts.

Review specification in your own time | 20 to 27January 2025
Feedback session | Tuesday 28 January 2025 - 6pm to 7pm

- What’s expected from you: Attend online briefing session (30mins), review specification in your own time (1hr), and attend online feedback session (1hr).
Activity 3 - Evaluate responses from potential suppliers
For this activity, you’ll review the responses to the question/s developed in Activity 1 from each supplier, and then score them against a set of Guinness criteria. Your scores will be combined with other evaluators to give a total score, which will then be used to help us decide who to award the contracts to.

- How much time is needed: 6.5+ hours
- When: April or May 2025 – date and times TBC

- Eligibility: Those who receive communal cleaning and/or window cleaning services to their scheme by an external contractor.
- What’s expected from you: Attend online briefing session (30mins), review and score responses in your own time (5+ hours), and attend online moderation session (1-2 hours).
