Helping us procure new cleaning contracts!












At Guinness, we’re dedicated to maintaining clean, safe and well-maintained communal areas. To help us achieve this, we know how important it is to choose the right supplier and have the right contracts in place.

Our current contracts for cleaning communal areas and windows will be ending next year, so we’re looking to procure new cleaning contracts, and would love your help!

We have a range of activities for you to take part in, depending on how much time you have to give:

  • Activity 1 | NOV 2024 | Develop evaluation question/s (1.5 hours) (This activity has taken place)
  • Activity 2 | JAN 2025 | Review/shape the specification (2.5 hours)
  • Activity 3 | APR/MAY 2025 | Evaluate responses from potential suppliers (6.5+ hours)

We are currently recruiting for Activity 2 - Review/shape the specification.

For this activity, you’ll review and give us your thoughts on our communal cleaning/window cleaning specification. A specification is essentially a list of expectations and actions that suppliers must comply with or do when they visit our sites – it forms the basis of their contract with us and is used to monitor their performance against. The feedback from this exercise will help shape the new specification that we’ll use to procure new contracts.

  • To say thanks for your input, you’ll receive a £50 gift voucher
  • How much time is needed: 2.5 hours
  • When:
    • Briefing session, online via Zoom | Monday 20 January 2025 - 5pm to 5.30pm

    • Review specification in your own time | 20 to 27January 2025

    • Feedback session, online via Zoom | Tuesday 28 January 2025 - 6pm to 7pm

  • Places available: 8
  • Eligibility: Those who receive communal cleaning and/or window cleaning services to their scheme by an external contractor

  • Update | Activity 1 - Develop evaluation question/s

    Thank you to those that took part in this first activity.

    Here’s a quick summary of what the group felt was most important, and what suppliers should be assessed against during the evaluation stage:

    • Being able to guarantee a regular pattern/frequency of turning up – such as a regular day that suppliers attend
    • Having a robust contingency plan in place to ensure service is always delivered – in case of sickness/annual leave etc.
    • An easy way to communicate when plans change


    The group also mentioned the importance of getting the basics right around ensuring good cleaning principles and having appropriate Health & Safety procedures in place. These expectations are basic requirements and are built into existing contracts, so suppliers will be assessed against these expectations as standard. Where concerns were raised during the session, we will be following up with the relevant contractors.

    We will now work on drafting a question (or set of questions) for the evaluation stage of the Procurement, and once drafted, we’ll share the question/s with you.
